Open Sales Retainage (AR) Data Migration

Make sure you have set up Sales Retainage Setup and Processing before migrating Open Sales Retainage.

Tip

We recommend against bringing in retainage values into the Retainage Ledger. There is a complex link between the receivable and retainage records, and there is the additional complication of GL Entries that must be reversed. Unless there is a very clear case to do this, we suggest that you bring in all open retainage records as receivables records. If it is a must that you create retainage records, we recommend that we do this for you as a billable task.

Create Your Journal to Enter or Import the Open Receivables:

In General Journals, create a dedicated Batch for migrating Open AR and Open Retainage. As an Account Type, choose Customer to post to the Customer Subledger. In the example below:

  In this example:

  • $9,000 is the Regular AR from that Customer (GL account 12000 is the AR control Account)
  • $1,000 is the full AR – Retainage/ Holdbacks amount. (We post this to the same GL account for migration, as we are posting straight to the receivables account and not to the retainage account.)
  • For migration purposes, it is best to combine the Net Amount and the Tax Amount. (This is the Receivable value owing.)
Tip

Using a clear description, like “Retainage-Invoice xyz,” will help you identify which line belongs to which original invoice.

 

View the Results of the Posting:

We are migrating Open AR and Open Retainage Entries. The GL impact is already reflected in GL balances. This means that the current migration is NOT going to affect GL balances. (There will be a NET zero effect.)

Important

If you want Retainage Postings rather than starting out with everything in the receivable ledger (e.g., to get the Release Sales Retainage function or Aged Retainage Receivables Report)

  •  Migrating all data properly requires the creation of sales headers and sales lines and then processing the Retainage Posting.
    •   Not recommended.
  •  If you think that the value of having a link between the original AR and the AR holdback is high, please contact us.
