How do I set up Planned Maintenance?

Planned Maintenance in RPM

Service Type Codes

  1. Using the search function, go to the Service Types
  2. To add a service type, enter a code and description.
    1. For example: Code – BREAKDOWNS, Description – Breakdowns OR Code – GM, Description – General Maintenance.

 

PM Service Codes

Planned Maintenance Service Codes are codes for how often the maintenance should happen.

These can be 1D (One Day), 1Y (One Year), 2YEW (Two Year Extended Warranty), 3M-500HR (Three Month, 500 Hour Service), etc.

  1. Using the search function, go to the PM Service Codes
  2. Enter your desired service code with a description.
  3. Select a Unit of Measure Code and set the corresponding Date Recurrence.

Other Fields on the PM Service Codes Page

  1. Schedule Date Length: This value is how long the system will schedule the planned maintenance for. If Date Recurrence is 1Y and Schedule Date Length is 10Y, the system will plan maintenance every one year for the next ten years. 
  2. Reading Recurrence: In addition to a Date Recurrence, you can also set a Reading Recurrence. Depending on your Unit of Measure this can be 3,000 miles, 500 hours, 30 days, etc. 
  3. Schedule Reading Length: Similar to Schedule Date Length, this field sets the schedule length for the Reading Recurrence field. If Reading Recurrence is 500 hours and Schedule Reading Length is 10,000 hours, the system will plan maintenance every 500 hours through a total of 10,000 hours. 

 

PM Work Codes

  1. Using the search function, go to the PM Work Codes
  2. To create a new work code, select New from the top ribbon.
    1. Enter a code, description, Default Service Type Code, and Default PM Service Code.
  3. Now highlight or select the line for any PM Work Code and click Card in the top ribbon.
  4. On the PM Work Code Card page, you can add any item or resources you want associated with the work code.
    1. Define what will need to be serviced (resources, items, etc.)
    2. For example, on a PM Work Code of “3K OIL CH” you may want to add additional work lines for the maintenance. The PM Work Code Card is where you would add an oil filter, oil, and technician time. You can specify quantity or designate lines as non-chargeable.

 

Planning Maintenance

  1. Go to the RPM Unit card for the Unit you want to set up planned maintenance.
  2. Select Home in the top ribbon, and then Planned Maintenance.
  3. Load any PM Work Lines by selecting from the options in the top ribbon. The chosen work lines will populate in the first fast tab.
    1. The PM Work Code and Service Code will populate.
    2. Base Start Date, and Base Reading may need to be filled out.
    3. Changing the Base Start Date will update the Maintenance Schedule fast tab.
  4. In the Maintenance Schedule FastTab, select the Next Maint. Date Line(s) you want to create a Work Order for.
  5. Click Schedule, Create RPM Document. This will open a window where you can select what Document Type to create.
    1. Confirm that the Sell-to Customer, Bill-to Customer, Responsibility Center, Ship-to Code, and Location Code are correct. These fields can be edited from the document header if a mistake is made in this process.
  6. You have now created an RPM Document with lines for Unit Service and any related charges set up on the PM Work Code. 

Note that highlighting a line from the top section of the Unit Planned Maintenance page will show the maintenance schedule for the line’s activity, as well as the work lines required in the bottom section. For example, selecting “3K OIL CHANGE” will show future dates and meter readings when maintenance would be required. In the bottom fast tab, it shows labor, oil, and an oil filter as service charges for the planned maintenance.
